Using Vouch at events

Vouch is a great way to collect engaging video content onsite at your events. Whether you’re hosting a conference, workshop or networking event, Vouch makes it easy to gather video testimonials, interviews or feedback from your attendees.

The following guide outlines some of the considerations you should make prior to the event and how to best setup your Vouch requests for collection.

Pre-events considerations

Collection method

How will you be collecting video content from your attendees? Will you want to be allowing attendees to scan a QR code and record on their own devices? Or will you be setting up a space and using your own equipment to record?

Both collection methods have their pros and cons and you should consider how you wish to use the video content you collect post event when making a decision.

Recording space

If you are looking to setup a space to collect your videos, there are a few things you should consider to ensure that the videos you collect are at highest quality possible and that you minimise

• Internet: Does the space have adequate internet? Its worth checking before the event that where you setup isn’t in a Wi-Fi blackspot and that Vouch will be able to upload recordings as they’re collected.
• Lighting: Is there adequate lighting where the recordings take place? Additional lighting will help boost the quality of the video captured, so it is worth considering using ring lights to ensure you collect the best possible video.
• Noise: Depending on where you setup your space, it might be impossible to avoid background noise from other event attendees. Consider using an external microphone to boost the quality of your audio, especially if you don’t want respondents to hold the device.
• Surroundings: What will be behind the respondent when recording? Consider positioning people in front of the same neutral background each time, or placing a branded pull up banner behind responders, so each video you collect has the same look / feel

Device

If you are looking to setup a space to collect your videos, it is worth considering what device(s) you will use. Vouch is designed to work across almost any internet enabled device with a browser, regardless of whether it is a mobile phone, tablet or laptop, however each have their pros and cons.

Generally speaking, tablets and mobile phones have higher quality cameras than most laptops and have other built in features to help with collecting quality video. When planning, you should also consider whether you intend to use external microphones or any portable lighting and whether you intend to allow the respondent to hold the device or if you’ll attach it to a tripod.

Sharing the recording link

If you are going to encourage people to record on their own device when they are ready, consider making the recording link as accessible as possible. Creating a QR code and putting it on any printed material at the event or even the event badges or lanyards is a great way of ensuring attendees can easily find their way to the Vouch Request when they are ready.

Setting up your request

If you’ve never setup a Vouch Request before, we recommend reading the following guide to get familiar with how to create a request first. If you are familiar, listed below are some of the more event specific options you may wish to consider enabling or disabling.

Kiosk Mode

If you are planning on using the same device to collect multiple responses, it is important that you enable Kiosk mode on your request. Kiosk mode is available under the recorder settings within your request and when enabled it will ensure that the request runs in a loop, seamlessly restarting after a respondent finishes recording.

Native Recorder

If you are using a mobile phone to collect videos, you may wish to use the native recorder instead of the Vouch standard recorder. Using the native recorder can be useful in scenarios where your device is already connected to external microphones or offers more granular control over the quality of recording.

To enable the native recorder, simply go to the recorder settings within your request and toggle on use native recorder.

Note: Native recorder will only work on mobile and tablet devices. Vouch recommends only using native recorder for Android devices.

Other screens

Vouch provides the option to turn on or off other screens within the recording experience, such as the cover screen, question list and even collecting contact details at the end. Depending on how you intend on collecting videos at your event, you may wish to turn off the cover screen and the question list screen to reduce the number of steps from start to record.

To turn on / off these screens, simply go to the recorder settings within your request and go to the content section.

Data Collection

Depending on how you are collecting your responses will impact the type of data you wish to collect at the end of a recording. Vouch provides the flexibility with it’s contact form for users to collect information such as name, email, role, company and more or even not collect any information.

Best Practices

Prep your audience

If you plan on interviewing attendees, we recommend reaching out to as many as you can in the lead up to your event to let them know you’ll be on site collecting content and would love them to stop past your space / booth to answer a few quick questions (some of our customers have gone so far as scheduling in specific times with people to stop by in advance to ensure there’s a commitment up front and a steady flow of responders)

Set up an inviting space so people can record in comfort – for example, a sectioned off area with comfortable seating & good lighting, and away from crowds to minimise noise

Limit questions

In our experience you will want to limit the number of questions you ask a respondent to 4 or less questions, so you minimise the time investment required.

Optimise your request

If you are interviewing attendees or recording in a set space, we recommend optimising your request configuration prior to the event. Generally speaking this is:

• Enable Kiosk mode
• Turn off Cover screen and Question List
• Collect only Name

If you are using an Android device and are using external microphones, you may also wish to enable Native recorder.

Fixed backgrounds

Consider positioning people in front of the same neutral background each time, or placing a branded pull up banner behind responders, so each video you collect has the same look / feel.

Collect B-Roll

Don’t forget to roam around the event and capture B roll style film of the speakers, crowd, exhibitors and general event vibe to build into your reels.
