Quick start: create your first project
A project is the home for everything related to a single campaign or initiative, such as a graduate intake, a values campaign or an end-of-year team stories series. It holds your requests, the responses that come in, and the compositions you build from them, so your team has one place to plan, track and reuse content. Starting with a project, rather than a standalone request, keeps everything organised from day one.
There are two ways to set one up. We recommend using Ask Vouch, which can do the whole thing from a single sentence. If you’d prefer to work through each step yourself, follow the manual steps further down.
Create your project with Ask Vouch
Ask Vouch can create the project, set its dates, write the questions and build the request for you. Open Ask Vouch and describe what you want in plain language, for example:
“Create a project called Team Stories, due 30 November, with a request asking 3 questions about what people enjoy most about working here.”
Ask Vouch will create the project, add the request with suggested questions, and show you what it’s done so you can review it before anything goes live.
Getting the most out of your prompt. The more context you give, the closer the first draft will be to what you need. Useful details to include are the project name and dates, who you’re asking (new starters, a specific team, customers), how many questions you want and what tone to take, and what you plan to do with the videos (a careers page, LinkedIn, an internal town hall).
Refine as you go. You don’t need to get it right first time. Follow-up prompts such as “Make the questions more casual” or “Add a question about career growth” let you adjust without leaving the conversation.
Once you’re happy, check the branding, set the request live and share it.
Set it up manually
Create the project
Select Projects from the left-hand menu and click New project. Enter a name and click Create project. Choose a name your team will recognise at a glance, such as “Grad Intake 2027” or “Team Stories – Q4”.
Set dates, an owner and a status
Under the project name, set the Starts and Ends dates, assign an owner, and pick a status and colour. These fields are optional, but they’re worth filling in. Dates place the project on the Calendar tab so your team can see what’s running and when, the owner makes it clear who’s responsible, and status and colour make projects easy to scan when you have several on the go.
Add a request
In the project, click Create, then Create a request. Add 3 to 5 questions. You can pick from templates, generate suggestions with Add using AI, or write your own.
A few tips for questions that get great responses: keep each question focused on one idea; ask for stories rather than opinions (“Tell us about a moment when…” works better than “Do you like…”); and put your easiest question first so people warm up on camera. Three to five questions usually keeps total recording time to a couple of minutes, which helps more people finish.
Brand it
Check the cover, brand and recorder settings so the request looks and feels like your organisation. Contributors are more likely to respond when the request is clearly from a team they trust. For details on every option, see the Request settings reference.
Set it live and share
Choose how people will receive the request. You can invite specific contacts, make the request public, or both. Inviting contacts lets you track who has and hasn’t responded, while a public request is ideal for reaching a wider group. Then share it however suits your audience: copy the link into an email or Slack message, display the QR code at an event or on a poster, or embed it on an intranet or careers page.
Watch responses arrive
Each response is added to your project automatically, so there’s nothing to file or move. Open the project at any time to review new videos as they come in.
Next steps
Once you’ve got a few responses, you’re ready to turn them into something shareable. Next, learn how to find the best clips on a theme and build a composition.
